Finance Assistant

Working closely with the Finance Manager, you will be part of a wider finance team. You will primarily be responsible for supporting and maintenance of the purchase and sales ledger during the term time period. However, each Finance Assistant is required to provide support and cover for each other as workloads require and during periods of absence.

Special Conditions

This position is subject to a probationary period of 6 months upon successful completion of which the position will become permanent.
A full DBS Certificate via the Disclosure and Barring Service will be required

Key Duties

To maintain the purchase and sales ledger (including supplier payments and credit control), spreadsheet based records of receipts and payments undertaking the associated processes and reconciliations and to provide related financial information and forecasts essential to the finance function of the College.

Primary Responsibility
Purchase Ledger
To enter purchase invoices on the purchase ledger;
To collate and process supplier payments;
To maintain financial control of the purchase ledger;
To undertake month end accounting routines and controls;
Sales Ledger
To enter sales invoices on the sales ledger;
To produce and despatch sales invoices and reminder letters to debtors;
To contact debtors as necessary re overdue accounts;
To process course fee refunds requested by the MIS department;
To undertake month end accounting routines and controls;
Secondary Support Role
To support and cover as necessary for the other Finance Assistants including support on cash book, banking and petty cash processes;

To provide financial information and impartial advice on matters relating to financial support including Bursaries, Travel, Advanced Learner Loans and HE financial support.

Person Specific

Minimum educational qualifications, GCSE Grade A*-C or equivalent in Maths and English;
High level of numeracy with attention to detail;
Proficiency in the use of spreadsheets;
Ability to relate to young people, with an interest in their future development;
Excellent organisational and interpersonal skills, and a pleasant telephone manner;
Excellent customer service skills;

Previous experience of undertaking similar financial control duties;
Accounts qualification to AAT level 2;
Experience of computerised accounting systems;
Ability to process a high volume of paper-based transactions with accuracy;
Willingness and ability to work on own initiative with minimal supervision, and also to function as part of a small team;
Knowledge of accounting concepts and practices;
Experience of year end accounting procedures;
