This post consists of an interesting blend of day to day business as usual activities as well as the potential to review and improve our existing HR systems and processes. It is an extremely busy department and no two days are the same.

This is a fixed term post to cover maternity leave, initially up to 12 months or sooner on return of the substantive post holder

Key Duties

To support the Human Resources Department in the delivery of an effective and efficient recruitment and on boarding service, fully utilising social media and innovative recruitment methods.

To act as the first point of contact for the HR team, including daily monitoring and management of the HR inbox and ensuring queries are dealt with promptly and efficiently. To set up new electronic systems and processes to reduce low value added administration activities and to assist all members of the HR and Payroll Team with general administration as and when required.

This job description is a guide to the duties you will be expected to perform immediately on your appointment. These may change in the future in line with the strategic direction and development of the College:

  • To coordinate staff recruitment and on boarding from vacancy authorisation stage to sign off of induction ; ensuring compliance with college procedures and KPIs, legal requirements and best practice;
  • Manage job postings, process internally and externally as applicable in a timely and accurate manner, ensuring quality control of information displayed in line with the College brand;
  • Generate generic job postings as applicable,
  • Ensuring effective filing of recruitment campaigns and transition of data from recruitment file to personnel files
  • To proactively utilise social media and other means to generate applicants; working with recruiting managers on campaigns;
  • Track, update and maintain candidate information and communicate with candidates as required;
  • Record and collate application forms appropriately and supply the appropriate candidate information to the assigned panel;
  • Schedule and arrange interviews and invite shortlisted candidates to interview
  • Maintain a recruitment database and monitor responses to advertising campaigns and keep records;
  • Produce and administer recruitment related reporting;
  • Action references for employees, ensuring all information within the reference is accurate;
  • Manage new joiner procedures ensuring the effective monitoring of the new starter on boarding, ensuring daily review and chasing of outstanding information;
  • Request references for all new starters;
  • Compose offer letters for new starters, which includes pay and working pattern;
  • Send out contracts to all new starters ensuring all information is accurate;
  • Ensure all new starter pre-employment checks are complete and ensure that Right to Work documentation is up to date and compliant;
  • Setting up new starters on select HR, ensuring this is done before start date;
  • Process DBS applications, request and review DBS checks for candidates;
  • On completion of recruitment and on boarding of a candidate, ensure all records are updated, documents placed in appropriate place and handover to team;
  • Create and maintain up to date electronic personnel files;
  • Daily monitoring and management of the HR inbox;
  • Support the HR team to deal with general HR queries from staff, promptly, efficiently and with confidentiality;
  • Organise and coordinate HR team meetings, draft agendas, minutes and be responsible for overseeing the team’s action tracker;
  • Attend and provide administrative support at pre-arranged HR meetings;
  • Deal with HR correspondence, administration and data in line with Human Resources procedures, ensuring sensitivity of confidentiality at all times;
  • Assist with general filing and day/day administration tasks as required, in line with Human Resources procedures;
  • Maintain an efficient, tidy working environment, ensuring all relevant documentation is dealt with in a timely manner
  • Implement and maintain appropriate filing systems, including archiving of records;
  • Work in close liaison with the HR team as an effective team member to improve systems and maintain high quality standards;
  • You will be expected to be fully conversant with the College’s range of equality and diversity and safeguarding policies and procedure to ensure the health, safety and welfare of all learners and staff;
  • Participate in the College’s appraisal scheme and undertake continuing professional development in line with the needs of the College;
  • Any other duties commensurate with grade and status as may reasonably be requested.

The person we are hoping to appoint will meet all of the following essential requirements and some or all of the desirable requirements.

ESSENTIAL REQUIREMENTS

  • Good standard of numeracy and literacy;
  • Highly organised with effective time management skills;
  • Demonstrable experience of utilising Microsoft office suite/IT software to generate creative documents (e.g. templates, adverts etc.)
  • Experience and keen interest in social media with a creative mind-set
  • Ability to communicate effectively with all key stakeholders including line managers, employees, recruiters etc.
  • Keen interest in work in an HR/ people focused related role;

DESIRABLE REQUIREMENTS

  • Previous experience of working within a HR environment,
  • Previous experience of recruitment and selection;
  • Relevant CIPD qualification (Level 3) or willingness to work towards;
  • Previous experience of utilising HR databases
